What Is a Merchant Service Provider? A Plain-English Guide for Business Owners
If you take credit cards, you have a merchant service provider, even if you have never thought about who it is. Here is what they actually do, how the money moves, and what to look for when you pick one.
What is a merchant service provider?
A merchant service provider is the company that lets your business accept card payments. They set up your merchant account, give you the equipment or software to take payments, process each transaction, and deposit the money into your business bank account.
You may also hear the terms payment processor, merchant services company, or ISO. For a small business owner, they all describe the company you work with to get paid by card.
What happens when a customer pays by card
A card payment looks instant at the counter, but a few steps happen behind the scenes:
- Authorization. The terminal sends the payment to your processor, which checks with the customer's bank to make sure the card is good and the money is there. This takes a few seconds.
- Batching. At the end of the day, your approved transactions are grouped and sent for payment.
- Settlement. The money moves from the customer's bank through the card network to your processor, and then into your business bank account. That usually takes one to a few business days, depending on your account.
What a good provider does for you
- Equipment and software. Countertop terminals, a point of sale like Clover, wireless terminals, tap to pay on your phone, online payments, and invoicing.
- Clear pricing. A statement you can read and a rate you understand.
- Security and compliance. Encryption, PCI compliance, and fraud protection.
- Support. Someone who picks up the phone when something breaks.
- Ways to lower your cost. Options like a cash discount program or dual pricing.
What it costs
Most businesses pay between 1.5% and 3.5% of card sales, depending on how they take payments and how the account is priced. I break that down in what the average merchant service fee is.

How to choose a merchant service provider
- Ask for the full list of charges, not just the rate.
- Read the contract for lease terms and cancellation fees.
- Make sure the equipment fits how you actually take payments.
- Find out who you call for help, and test it.
- Ask if they offer a cash discount or dual pricing program.
